Booking and service policies

These policies apply to coaching with Gilbert Anaya. Your completed service agreement confirms your selected service, payment schedule, and support dates before enrollment.

All prices and payments are in U.S. dollars (USD).

Before you book

Begin with a private coaching inquiry, focused-session inquiry, or Personal Practice Review inquiry. I’ll reply within two business days. For private coaching, we’ll begin with a complimentary email exchange to clarify your focus, confirm the service, and discuss next steps. For a focused session or Personal Practice Review, we’ll clarify the situation and next steps by email. An inquiry does not book an appointment or commit you to a purchase.

I’ll send your agreement and payment instructions personally. Once those are confirmed, we’ll arrange your appointment and private video-call details, or agree on your written practice review’s start date, end date, and submission dates.

Calls and practice support

Private coaching includes six private 60-minute video calls across twelve weeks, normally every other week. The twelve weeks begin with your first coaching call. You’ll receive personal practice guidance by email within two business days after each call, with optional weekly updates and clarifying questions during your support period. A written continuation plan helps you continue independently.

A focused session includes one private 75-minute video call, personal practice guidance by email within two business days, and fourteen calendar days for clarifying questions after that email is sent.

Email replies are within two business days. For private coaching and focused sessions, there is no numerical limit on clarifying questions about your practice. Topics needing extended discussion can be brought to a call. Written practice reports are optional. Questions received before the support deadline will still receive a reply within two business days.

Business days are Monday through Friday, excluding U.S. federal holidays, using Pacific Time. Email support is asynchronous.

Personal Practice Review

The Personal Practice Review is $350 USD for fourteen calendar days of email coaching focused on one situation. It includes three rounds of personal written feedback, including the initial review. The third round includes a closing summary to guide continued practice. Video calls are not included.

Before payment, we’ll agree on your start and end dates and when to send your initial account and two follow-up updates, leaving time for each reply. I’ll respond within two business days. Updates received by the agreed submission deadline will receive their reply even if that falls after the support period ends. If my availability delays the work, we’ll adjust the dates so you receive all three rounds.

There are three introductory places. An inquiry does not reserve a place; enrollment is confirmed after the service agreement is accepted and payment is received. If you need to change your dates or end the review, contact me by email. Refund requests are considered case by case as described below.

Rescheduling calls

Please give at least 24 hours’ notice by email if you need to reschedule. Changes with that notice do not use a session, subject to appointment availability.

Each engagement includes one courtesy reschedule for a late cancellation or missed appointment. Further late cancellations or missed appointments normally count as used sessions. Emergencies are considered individually.

If I need to reschedule, your session remains available and your courtesy allowance is unchanged. If you arrive late, we’ll normally finish at the scheduled time. If I start late, I’ll restore the lost time or arrange a suitable alternative.

Thirty-day focused-session credit

The $750 fee for a completed, paid focused session is credited toward private coaching if you enroll within thirty calendar days after the session. Enrollment means accepting the coaching agreement and completing the first payment with the credit applied. Your first coaching appointment can take place later by agreement.

The deadline is 11:59 p.m. Pacific Time on the thirtieth calendar day after your session and will be included in your practice email. If you contact me within that window and a delay on my side prevents enrollment, I’ll preserve your eligibility in writing.

With the full credit, the remaining paid-in-full coaching price is $6,750. The installment option becomes $1,750, $2,500, and $2,500, totaling $6,750, in addition to the focused-session fee already paid. The focused session is separate from your six coaching calls. One credit applies per engagement and is not redeemable for cash. If a focused-session fee is partially refunded, only the retained amount is available as credit.

Ending coaching and refund requests

You or I may end the engagement by email. Refund requests are reviewed case by case, taking account of the circumstances, payments made, and services already delivered or remaining. There is no fixed percentage refund formula or automatic satisfaction guarantee.

We’ll confirm the ending date, treatment of future payments, and any agreed refund in writing. Your agreement sets out the payment and cancellation terms before you enroll. If I cannot provide an agreed service, we’ll arrange an appropriate remedy for the undelivered service. These policies do not limit any rights that cannot lawfully be waived.
